Terms of Service

These terms govern use of Business Card Scanner, operated by [[LEGAL ENTITY NAME]]. Creating a workspace means accepting them.

The service

Business Card Scanner reads photographs of business cards and stores the results as contact records, with optional export to Google Sheets and Excel, and optional preparation of follow-up messages.

Card reading is automated and not always correct. Every scan is presented for review before it is saved, and low-confidence fields are marked. You are responsible for checking a contact before relying on it.

Your account

  • You must give accurate registration details and keep your password secure.
  • You are responsible for everything done under your workspace, including by users you invite.
  • One person per login. Do not share credentials.
  • You must be authorised to accept these terms on behalf of the organisation you register.

Your responsibility for the cards you scan

This is the obligation that matters most, and it sits with you rather than with us. When you scan a card you are the party that decided to collect that person's data, and you must have a lawful basis for doing so.

  • Scan only cards given to you willingly, in a business context.
  • Do not bulk-scan directories, purchased contact lists, or cards belonging to someone else.
  • Use the contact details only for the purpose they were given to you for.
  • Honour any request from a contact to be corrected or erased, and act on ours if we pass one on.
  • Comply with the Digital Personal Data Protection Act, 2023 and any other law that applies to you.

If a person asks us directly to erase their details, we will locate and delete them across workspaces, and we will do so without asking your permission first. See the Privacy Policy.

Messaging

Follow-up messages are drafted for you and sent by you, from your own device and your own number. Nothing is sent automatically, and we never send on your behalf. A draft sits on your Follow-ups screen until you open WhatsApp and press send.

Because a draft reaches nobody, workspaces are created with follow-up drafting switched on. That is not a statement that you have consent to message anyone — you are the sender, and the responsibility for having a lawful basis to contact each person is yours, at the moment you send. Receiving a business card is not consent on its own. You can turn drafting off for your whole workspace in Settings, or per contact when you save a card.

Acceptable use

  • Do not use the service for unsolicited bulk messaging.
  • Do not attempt to reach another workspace's data, probe for vulnerabilities, or bypass quotas.
  • Do not resell the service or use it to build a competing contact database.
  • Do not upload anything unlawful.

Scan allowance

  • There are no paid plans and nothing to buy. Each workspace is created with a fixed number of scans included at no charge.
  • The allowance does not renew. It is a total for the workspace, not a monthly figure.
  • Re-running a scan on the same photograph is free twice, so a poor photo does not cost you extra.
  • When the allowance is used up, scanning stops. Existing contacts stay readable and exportable. Contact us if you need more.
  • Access is granted by arrangement with us — signing up requires an access password.

Your data

Your contacts remain yours. We claim no ownership. You may export everything to Excel at any time, including after cancelling. We use your data only to run the service, as described in the Privacy Policy.

Availability

We aim to keep the service available but do not guarantee uninterrupted operation. Card reading depends on a third-party service that may be slow or unavailable; in that case you can still enter contacts manually.

Suspension and termination

You may stop at any time from Settings. We may suspend a workspace that breaches these terms or does not pay, with notice where practical and immediately where the breach risks harm to others. On termination your data is erased as described in the Privacy Policy.

Liability

The service is provided as-is. To the extent the law allows, our total liability in any twelve-month period is limited to the fees you paid in that period. We are not liable for indirect or consequential loss, or for loss arising from an inaccurate scan you did not check, or from your use of contact details in breach of these terms. Nothing here excludes liability that cannot lawfully be excluded.

Changes

We may update these terms and will email registered users before a material change takes effect.

Governing law

These terms are governed by the laws of India, and the courts of [[CITY, STATE]] have exclusive jurisdiction.
